What it is
Capability and workload matching considers who has needed knowledge, authority, and context as well as who has sustainable time and attention. Matching only capability overloads a few experts; equalising only volume gives consequential work to people not yet able to complete it.
Why it happens
Results depend on expertise and context, while coordination rises with handoff and learning, so the nearest qualified person often seems efficient. Repeatedly choosing that person accumulates queueing, interruption, and fatigue and withholds learning from others. Sound allocation balances delivery risk, present load, development, and fairness rather than matching static skill labels.
Studying it
- Paradigms: combine task logs, self-assessed skill, load, and outcomes across strategies; interview refusal and transfer.
- Variables: requirement, experience, current commitment, estimated duration, rework, learning, and overload.
- Methodological caution: historical completion data can entrench unequal opportunity and are not neutral ability truth.
Where it stops holding
Urgent high-risk work should favour a reliable expert, while recording later transfer. Private time, care, and health are not endlessly schedulable spare capacity.
Applying it
- Show needed capability, possible collaborators, current commitments, and uncertainty, then let the person confirm.
- Pair expert work with backup, rotation, and documentation.
- Permit refusal, scope negotiation, and rescheduling without reading availability as commitment.
- Verification: test whether overload concentration falls while critical quality and newcomer capability grow.
