What it is
Anytime, anyplace groupware aims to let a work process move among synchronous and asynchronous, co-located and distributed conditions while its content, identities, and decisions remain continuous. “Anytime, anyplace” does not mean making every function identical in every setting; it means allowing task-relevant state to travel with the activity. A project may proceed from asynchronous preparation to a remote meeting, then to individual execution and an on-site review, requiring preservation, handoff, and resumption at each transition.
Why it happens
Human activity boundaries rarely coincide with system session boundaries. When a synchronous discussion ends, spoken agreement that has not become a persistent, addressable object forces asynchronous participants to reconstruct context. When asynchronous records enter a meeting without a shared view, participants repeat them orally. Every transition changes available cues, response speed, and control, creating representational loss. Continuity comes from stable object identity, traceable state changes, and explicit open issues—not from placing every communication channel in one interface.
Studying it
The unit of analysis should cover a collaborative trajectory rather than a meeting or editing session alone. Diary studies, longitudinal logs, and contextual interviews can reconstruct movement across times, places, and devices. Useful measures include resumption time, duplicate entry, omitted decisions, orphaned copies, and side-channel use. Event sequences should distinguish voluntary switching from transitions forced by failures, disconnection, or access restrictions; they may look alike in logs but imply different interventions.
Where it stops holding
Not every activity should cross every setting seamlessly. Confidential or safety-critical work may intentionally prevent material from leaving a controlled site, and ephemeral low-consequence exchanges may not merit permanent retention. Continuity can also conflict with contextual separation: automatically carrying informal conversation into a formal record may suppress candor. Support should preserve task-relevant state rather than copy all content and metadata by default.
Applying it
- Map transitions in each critical journey and list the objects, decisions, owners, and open questions that must survive each one.
- Assign stable identities to content and annotations so links remain resolvable after device changes, reordering, and the end of a live session.
- Add a lightweight closure at session boundaries: confirm decisions, assign follow-up work, and return the record to an asynchronously accessible location.
- Test continuity end to end by asking someone absent from the preceding phase to resume the work; measure time to actionable understanding, clarification requests, and missed items.
